How Much Does Appointment Setting Cost?

Outsourced B2B appointment setting usually costs $25 to $50 an hour, $50 to $300 per meeting, or $3,000 to $10,000 a month on a retainer, according to agencies' own pricing guides. Switchstack charges a flat $2,199 to $3,099 a month for a full-time dedicated caller, depending on the caller's country. That's about $13 to $18 an hour, with no setup fee and no charge per meeting.

The market ranges below are what agencies publish in their own pricing guides, so treat them as estimates. Our prices are the ones we charge.

Appointment Setting Pricing Models

Agencies charge in three main ways, and an in-house hire is the fourth option to compare against:

ModelTypical priceHow it worksWatch out for
Paid by the hour$25 to $50 an hourYou pay for the caller's time, whatever the results. For a full-time caller, that's about $4,300 to $8,700 a month. Belkins, SalesRoadsYou carry the risk if the calls don't book meetings.
Pay per appointment$50 to $300 per meetingYou pay only for meetings booked. Intelemark gives $50 to $300, with an example of a software company paying $150 to $400 per demo booked with mid-market IT managers. Belkins puts healthcare and professional services at $25 to $100. Monthly retainer$3,000 to $10,000 a monthA fixed fee for an agreed scope. Intelemark gives $3,000 to $10,000. Belkins puts a basic retainer at around $2,000 a month and fuller services at $5,000 to $10,000. Belkins, IntelemarkMinimum terms, setup fees and how much of the fee pays for the calls.
In-house SDR (US)About $75,500 a year before commissionPayScale puts the average US SDR base salary at $52,866, and benefits add about 43 cents per dollar of wages, according to the BLS. PayScale, BLSHiring time, management, tools and turnover all come on top.

Appointment Setting Cost per Month

Putting every model on a monthly basis makes them easier to compare. At $25 to $50 an hour, a full-time caller billed by the hour costs $4,300 to $8,700 a month. A US in-house SDR costs about $6,300 a month before commission. Retainers vary the most, because some cover email and strategy as well as calls.

How to Work Out Your Cost per Meeting

The monthly price matters less than what each meeting costs you. Use meetings that actually happen, not meetings booked:

  • Monthly price: cost per meeting = monthly cost ÷ meetings held. For example, $3,000 a month and 12 held meetings is $250 per meeting.
  • Pay per appointment: cost per meeting = price per booked meeting ÷ the share that show up. For example, $200 per booking with 80% showing up is $250 per held meeting.

The numbers in these examples are made up to show how the sums work. To find your own booking rate, see how many cold calls it takes to book a meeting.

What Changes the Price

  • Where the caller works. Local pay is a big part of the price: our own prices run from India, the lowest, to Latin America, the highest.
  • Who you call. Tighter targeting, such as by seniority, means fewer meetings and a higher cost per appointment, according to Intelemark.
  • How much is included. Some prices cover only the calls; others include list building, email and strategy.
  • Contract terms. Setup fees and minimum terms change what you pay in the first months.

Costs to Ask About Before You Sign

  • Setup or onboarding fees before calls start.
  • The contact list: is it included, or do you pay for data separately?
  • Minimum terms, such as three, six or twelve months.
  • What counts as a meeting, and whether you pay for no-shows.
  • Who owns the call recordings, notes and contact data if you leave.

FAQ

Appointment Setting Cost: FAQs

The questions people ask most about appointment setting prices.

How much does appointment setting cost per appointment?
Intelemark's guide puts pay-per-appointment pricing at $50 to $300 per meeting, and Belkins puts it at $25 to $100 in healthcare and professional services. Meetings with harder-to-reach buyers cost more. Check whether you pay for meetings booked or meetings held.
How much does an appointment setter cost per hour?
Agencies that bill by the hour usually charge $25 to $50, according to Belkins and SalesRoads. Switchstack's flat monthly price for a full-time caller works out to about $13 to $18 an hour for We Call for You, and less for Hire a Caller.
Is pay per appointment better than a monthly retainer?
Pay per appointment moves the risk to the agency, so prices per meeting are higher, and the definition of a meeting matters. A retainer or a flat monthly price costs the same whatever happens, so it pays off when the caller books steadily. Compare both on cost per meeting held.
Is it cheaper to hire an in-house SDR?
Not in the US. Using PayScale's average salary and BLS benefit costs, a US SDR costs about $75,500 a year before commission, plus your time to hire and manage them. A full-time Switchstack caller costs $26,388 to $37,188 a year with We Call for You.
Why are offshore appointment setters cheaper?
Mainly because local pay is lower. The price difference doesn't have to mean lower quality if the caller has strong English, B2B experience and works your prospects' hours. Test any caller on role-play calls before they phone your prospects.
